1. Who We Are

Superior Technical Solutions LLC ("STS," "we," "us," or "our") is a Utah limited liability company headquartered in St. George, Utah. This Privacy Policy explains what information STS QuickBooks Online Integration (the "Application") collects, how we use it, how we protect it, and the choices you have.

This policy covers the Application and its connection to Intuit Inc.'s QuickBooks Online service ("QuickBooks"). Your use of QuickBooks itself is governed by Intuit's own privacy policy, available at https://www.intuit.com/privacy/.

2. Information We Collect

Information you provide. Account registration details such as name, business name, email address, and phone number. Support requests and any information you include in them.

Information from QuickBooks Online. When you authorize the connection, the Application accesses your QuickBooks company data through Intuit's APIs on a read-only basis. Depending on the scopes you approve, this may include:

  • company profile and preferences;
  • chart of accounts and general ledger entries;
  • customers, vendors, and related contact details;
  • invoices, bills, estimates, payments, credit memos, and other transactions;
  • items, services, and pricing;
  • financial reports such as profit and loss, balance sheet, and aged receivables.

The Application does not create, modify, or delete records in your QuickBooks company file. The Application does not request or store QuickBooks login credentials. Authorization is handled entirely by Intuit through OAuth 2.0, and we receive only access and refresh tokens.

Technical information. IP address, browser and device type, timestamps, pages viewed, and application and API event logs generated when you use the Application.

Cookies. We use strictly necessary cookies to maintain your session and security. You can control cookies through your browser settings.

We do not knowingly collect government identification numbers, full payment card numbers, or protected health information through the Application. Please do not submit that information to us through the Application or through support channels.

3. How We Use Information

We use the information described above only to:

  • authenticate you and maintain the connection to your QuickBooks company;
  • retrieve, calculate, and display the reports, dashboards, and analyses you request;
  • provide support, troubleshoot errors, and respond to your inquiries;
  • monitor, secure, and improve the reliability and performance of the Application;
  • comply with legal obligations and enforce our agreements.

We do not sell, rent, or trade your information. We do not use data retrieved from QuickBooks for advertising, marketing, or profiling, and we do not share it with data brokers.

4. How We Share Information

We disclose information only in these circumstances:

Service providers. Vetted vendors that host, secure, or support the Application, acting on our instructions under written agreements that restrict their use of the data. Our current categories of service providers are:

  • Cloud hosting and storage: [developer to provide — named provider and US region]

Data retrieved from QuickBooks is not sent to any third-party artificial intelligence or machine learning service."]

Legal compliance. When required by law, subpoena, court order, or lawful government request, or to establish, exercise, or defend legal claims.

Protection of rights and safety. When necessary to investigate suspected fraud, a security incident, or a violation of our terms.

Business transfer. In connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply to the transferred information.

With your direction. When you ask us to share information with a party you designate.

Access within your organization only. Data retrieved from your QuickBooks company is segregated by customer and is accessible only to your authorized users and to the limited STS personnel described in Section 5. It is never shown to, or made available to, any other customer.

5. How We Protect Information

We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including:

  • encryption in transit using TLS 1.2 or higher, and encryption at rest using AES-256 or equivalent;
  • OAuth 2.0 tokens stored encrypted, never in source code, browser storage, client-side logs, or version control;
  • role-based access control with least privilege, and multi-factor authentication required for administrative access;
  • logical separation of each customer's data, enforced at the database layer;
  • audit logging of access to production systems and of API activity;
  • annual review of access rights, and prompt revocation on personnel change;
  • vulnerability management, dependency patching, and secure development practices;
  • background-checked personnel bound by written confidentiality obligations;
  • an incident response plan, under which we will notify affected customers without undue delay and, in any event, within the timeframe required by applicable law after confirming a breach of their data.

Access to data retrieved from QuickBooks is limited to STS personnel who need it to operate or support the Application.

No system is perfectly secure. We cannot guarantee absolute security, and you are responsible for safeguarding your own credentials.

6. Data Retention and Deletion

We keep information only as long as needed for the purposes described in this policy.

  • On disconnect. When you disconnect the Application from QuickBooks, we immediately revoke and delete the associated OAuth tokens and stop retrieving new data.
  • Deletion timeline. Data retrieved from your QuickBooks company is deleted or irreversibly de-identified within 30 days of disconnection or account closure, unless a longer period is required by law.
  • Backups. Residual copies may persist in encrypted backups for up to 90 days, after which they are overwritten in the ordinary backup rotation. Backups are not used to restore deleted customer data.
  • On request. You may request deletion at any time by contacting us at the address in Section 11. We will confirm completion in writing.
  • Logs. Security and system logs that do not contain accounting records are retained for 12 months.

Deleting data from the Application does not affect the records in your QuickBooks company file, which remain under your control and Intuit's terms.

7. Where Data Is Stored

Data is stored and processed in the United States on infrastructure operated by [developer to provide — named hosting provider(s)], in the United States. If you access the Application from outside the United States, you understand that your information will be transferred to and processed in the United States.

8. Your Rights and Choices

All users. You may request access to, correction of, or deletion of the personal information we hold about you, and you may withdraw your authorization at any time by disconnecting the Application in QuickBooks Online under Settings > Apps > Connected Apps > Disconnect.

United States state privacy laws. Depending on your state of residence, you may have the right to know what personal information we collect and how we use and disclose it, to request correction or deletion, to obtain a portable copy, and to appeal a denial of a request. We do not sell personal information, we do not share it for cross-context behavioral advertising, and we do not use it for profiling that produces legal or similarly significant effects. We will not discriminate against you for exercising these rights.

GDPR and UK GDPR. If you are in the European Economic Area, the United Kingdom, or Switzerland, you may have rights of access, rectification, erasure, restriction, portability, and objection, and the right to lodge a complaint with your supervisory authority. Where we process data on your behalf, we act as a processor and you act as the controller. Our lawful bases are performance of a contract, our legitimate interest in operating and securing the Application, and your consent where required.

To exercise any right, contact us at privacy@stsutah.com. We verify requests before acting on them and will respond within the period required by applicable law, generally 45 days.

9. Children's Privacy

The Application is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18. If we learn we have, we will delete it.

10. Changes to This Policy

We may update this Privacy Policy. Material changes will be posted at this URL with a revised Effective Date and, where practical, communicated directly to affected customers. Continued use after the revised date constitutes acceptance.
